Vendor Spotlight: Jovial Planning & Coordination – A Calm, Thorough St. Louis Wedding Coordinator

When you’re planning a wedding in St. Louis, hiring a coordinator who can quietly hold the whole day together is one of the most valuable investments you can make. In our ongoing Vendor Highlight series, we sit down with the wedding pros we love working with and ask the questions engaged couples should be asking before they book.
This week we’re excited to feature Ally Kerr of Jovial Planning & Coordination, a St. Charles based wedding coordinator serving the greater St. Louis area. We recently worked a wedding together and loved how organized and calm her whole approach was, so we asked her to share her best advice for couples currently planning their big day.
What common mistakes do you see couples making when planning a wedding?
One of the biggest mistakes I see is waiting too long to think through the actual flow of the wedding day. Couples often spend months choosing beautiful details but do not consider how everything will come together logistically. Travel time, vendor arrival windows, setup responsibilities, family photos, transitions, and cleanup all need to be planned. Another common mistake is assuming someone else will handle a task without clearly assigning it.
What’s the best tip you have for couples hiring a wedding coordinator?
Hire your coordinator early enough to take full advantage of their knowledge and experience. Even when a coordinator’s main work happens closer to the wedding, they can help you understand what is included, identify potential gaps, and make recommendations that may save you stress later.
It is also important to choose someone you trust and feel comfortable communicating with, because they will be managing many of the behind-the-scenes details on one of the most important days of your life.
What don’t couples know about your business that they need to know?
Wedding coordination is much more than showing up on the wedding day with a clipboard. Long before the celebration begins, I am putting together the moving parts, building the timeline, communicating with vendors, confirming logistics, identifying potential problems, and making sure everyone knows where they need to be.
What questions should couples be asking that they don’t know to ask?
Couples should ask:
- Who will handle setup and cleanup?
- When are vendors allowed to arrive?
- What is the backup plan for bad weather?
- Who will take home gifts, decor, and personal items at the end of the night?
Those details are easy to overlook but can make a big difference in how smoothly the day goes. These are also all questions I address in my pre-wedding Collaborative Planning Document with every couple who books with me.
What is your best piece of advice for couples planning a wedding?
Do not make every decision based on what you think a wedding is supposed to look like. Focus on what will make the day meaningful and enjoyable for the two of you. Spend your time and budget on the things that matter most, and let go of the details that will not affect your experience. Your guests will remember how the day felt much more than they will remember every decoration.
What’s the most unusual wedding you’ve ever coordinated?
One of the most unusual weddings I have coordinated was a New Year’s Eve wedding at the Historic John B. Busch Brewery in Washington, Missouri. The ceremony was held underground in the brewery’s historic stone cellar, and the entire venue was so interesting to explore.
The couple also had several unique and fun vendors, including a cotton candy spinner and a live painter. It was such a fun atmosphere, and ringing in the New Year with the couple and their guests made it even more special.
What was the most memorable wedding you’ve ever worked, and why?
It is hard for me to choose just one. Every wedding has something that makes it memorable, whether it is the couple, the venue, a meaningful family moment, or an unexpected challenge that comes together beautifully. I especially remember the weddings where the guests are friendly, fun, and clearly having a great time!
