Vendor Spotlight: Whitmoor Country Club – Timeless Wedding Venue Near St. Louis and St. Charles

Vendor Spotlight featured image for Whitmoor Country Club, a St. Charles area wedding venue with golf course views

When you’re planning a wedding in the St. Louis and St. Charles area, the venue you choose sets the tone for the entire experience. In our ongoing Vendor Highlight series, we sit down with the wedding pros we love working with and ask the questions engaged couples should be asking before they book.

This week we’re excited to feature Carley Gehner, Director of Catering at Whitmoor Country Club, an elegant St. Charles wedding venue with panoramic golf course views, chef-crafted cuisine, and a team that treats every couple like family. We recently worked a wedding together and loved how effortlessly her team ran the day, so we asked Carley to share her best advice for couples currently planning their big day.

What common mistakes do you see couples making when planning a wedding?

One of the biggest mistakes we see is couples getting caught up in what a wedding should look like instead of creating a day that truly reflects who they are. Trends come and go, but a wedding that feels personal never goes out of style.

Another common mistake is overlooking the guest experience. Beautiful décor certainly creates a wonderful first impression, but what guests remember most is how they felt. Exceptional food, attentive service, a seamless timeline, and a welcoming atmosphere leave a lasting impression.

At Whitmoor Country Club, we’re fortunate to offer all of those elements in one place, from picturesque golf course views and elegant indoor spaces to chef-crafted cuisine and a dedicated team that ensures every detail comes together seamlessly.

What’s the best tip you have for couples hiring a wedding venue?

Find a venue that feels like home the moment you walk through the doors. A venue isn’t simply where your wedding takes place; it’s where you’ll get ready, celebrate with your favorite people, and create memories you’ll cherish for the rest of your life.

Ask who will guide you throughout the planning process, how the wedding day flows, and how the venue handles unexpected situations. The right team should make you feel confident long before your wedding day arrives.

At Whitmoor, we pride ourselves on building genuine relationships with our couples. By the time their wedding day arrives, many feel like family, and that’s exactly how we want it to feel.

What don’t couples know about your business that they need to know?

One of the biggest surprises for many couples is that you do not have to be a member to host your wedding at Whitmoor Country Club.

Hosting your wedding at a private club offers a completely different experience than a traditional banquet venue. Our couples enjoy beautifully maintained grounds, panoramic views overlooking our championship golf courses, elegant reception spaces, chef-prepared cuisine, and a team focused on one goal: making their wedding day effortless.

From your first tour to your last dance, we’re committed to creating an experience that’s warm, welcoming, and uniquely yours.

What questions should couples be asking that they don’t know to ask?

Instead of focusing only on pricing, ask questions that reveal what your wedding day will actually feel like. Some of my favorite questions are:

  • Do you allow for customization?
  • How many weddings do you host in one day?
  • What do couples compliment you on most after their wedding?

The answers to those questions often tell you much more than what’s included in a package.

What is your best piece of advice for couples planning a wedding?

Take time to enjoy your engagement. Wedding planning can feel overwhelming, but remember this season is about celebrating your future together, not simply checking boxes on a to-do list.

Trust the professionals you’ve hired, focus on the moments that matter most, and don’t lose sight of why you’re planning this celebration in the first place.

Some of our favorite moments at Whitmoor happen just before the ceremony, when couples steal a quiet moment overlooking the golf course, or during cocktail hour when they take a few minutes to enjoy appetizers together before joining their guests. Those small, intentional moments often become some of the memories they treasure most.

What’s the most unusual wedding you’ve ever hosted?

I don’t know that I’d call it unusual, but one of the most unique celebrations we’ve hosted was actually a vow renewal. The couple had postponed their wedding because of COVID while they were serving in the military. When they finally celebrated, every detail reflected their journey together.

Each guest table represented a chapter of their relationship, from where they first met to the places they had been deployed and the destinations they had traveled together. They incorporated custom cocktails, meaningful family traditions, and late-night treats that told their story in such a personal way.

That’s one of my favorite things about weddings at Whitmoor. No two celebrations are ever alike because every couple brings their own story, traditions, and personalities into the day.

What was the most memorable wedding you’ve ever worked, and why?

The weddings we remember most aren’t always the largest; they’re the ones filled with genuine emotion.

One celebration stands out because the couple placed a wedding cake at every guest table. During dessert, they invited the couples who had been married the longest to cut the cakes alongside them. It was something I’d never seen before.

Watching couples from every stage of life tear up, cut the cake together, and feed one another was incredibly moving. For a few moments, it felt as though they had all been transported back to their own wedding day.

It was a beautiful reminder that the most unforgettable weddings aren’t defined by extravagant details. They’re defined by the love in the room, the people sharing the moment, and the memories being created together.
